Broadcasts Approval
The Broadcasts Approval feature introduces a validation step before a broadcast can be executed.
When an Operator creates a broadcast, it cannot be sent immediately. Instead, it must be reviewed and approved by an Administrator. This ensures that all broadcasts are validated before reaching recipients.
During the broadcast configuration, the Operator defines the delivery date, hour, and minutes in the Summary step. This scheduled time represents when the broadcast should be executed, but execution will only occur if the broadcast is approved beforehand.
A required condition is that the scheduled time must be at least 25 minutes ahead of the current time. This time allows the system to notify Administrators and gives them enough time to review the broadcast before activation. Once submitted, the broadcast changes to For Approval status.
The following sections describe the different scenarios that can occur during this process, including how broadcasts are reviewed, approved, declined, and how Administrators are notified before execution.
Broadcast pending approval
Once the Operator submits the broadcast, it enters the For Approval status and remains inactive until an Administrator takes action.
From this moment, the system tracks the scheduled delivery time defined during configuration. When the broadcast is 25 minutes away from execution, the platform automatically sends an email notification to all Administrators within the Space.
This email, titled “Campaign approval pending”, informs the Administrator that a broadcast requires immediate review before its scheduled activation. Inside the email, a "Review and approve" button is provided, allowing direct access to the broadcast.
When the Administrator clicks this button, they are redirected to the broadcast summary page, where they can review the configuration and message content.
If the Administrator is not logged into the correct Space, the system will display a "Campaign not found" message. In this case, the Administrator must log in to the appropriate Space to access the broadcast.
In addition to the email notification, the platform also provides visibility when the Administrator logs into the system. A banner appears at the top of the Dashboard, indicating how many broadcasts are pending approval.
By selecting View All, the Administrator is redirected to the Performance Reports section, where broadcasts are automatically filtered by the For Approval status. Each broadcast is displayed as a card with its key details, including the scheduled delivery time.
From there, the Administrator can select Details to access the broadcast summary and proceed with the review.
At this stage, the broadcast is still inactive and cannot be executed until it is explicitly approved.
Broadcast is approved
Once inside the broadcast summary, the Administrator reviews both the configuration details and the message preview.
If the broadcast is valid, select Approve. It will open a confirmation dialog asking whether the Administrator wants to proceed with the approval. By selecting Yes, approve, the system confirms the action.
Immediately after approval, a confirmation message is displayed indicating that the broadcast has been approved successfully.
At the same time, the platform sends an email notification to both the Operator and the Administrator, confirming that the broadcast has been approved. This email includes key details such as the broadcast ID, Space, channel, creator, and creation date.
From this point, the broadcast status changes to Scheduled, and it will be executed automatically on the date and time originally defined by the Operator.
Broadcast is declined
If the Administrator determines that the broadcast should not be approved, they can select the Decline button available in the summary view of the broadcast.
At this moment, the system requires the Administrator to explicitly indicate the reason for declining the broadcast. A dialog window is displayed, presenting three possible options:
- Quantity of sender
- Inappropriate content
- Others
If the Administrator selects Others, they must provide a custom explanation in the text field. This step ensures that the Operator receives clear and actionable feedback. Once the reason is selected, the Administrator must confirm the action by selecting the Decline button again within the dialog.
After confirmation, the platform displays a message indicating that the broadcast has been declined successfully. At this point, the broadcast status changes to Returned, and it is no longer eligible for execution.
Simultaneously, the system sends an email notification to the Operator informing them that the broadcast has been rejected.
This email includes:
- The broadcast name
- The Administrator who declined it
- The Space where the broadcast was created
- The reason provided by the Administrator
In addition, the email clearly guides the Operator on the next step, prompting them to review the Administrator’s comments, apply the necessary adjustments to the broadcast, and resubmit it for approval by selecting the Edit Campaign button, which provides direct access to update and reconfigure the broadcast.
Until the broadcast is updated and resubmitted, it remains in the Returned status and cannot be executed.
Broadcast expires before approval
If a broadcast reaches its scheduled delivery time without being approved, it is not executed. Instead, the system marks the schedule as expired and prevents the broadcast from being activated under the original configuration.
When the Administrator later accesses the broadcast and selects Approve from the Summary view, the system detects that the scheduled time has already passed. Instead of allowing immediate approval, a dialog is displayed indicating that the broadcast schedule has expired.
This dialog informs the Administrator that a new activation time must be defined before the broadcast can be approved. At this point, the Administrator must decide how to activate the broadcast. The system provides two options:
- Now, which activates the broadcast immediately after approval.
- Schedule, which allows the Administrator to define a new delivery date for the broadcast activation.
Once the Administrator selects the desired option, they must confirm the action by clicking Approve broadcast.
A confirmation dialog is then displayed, asking the Administrator to proceed with the approval. Click Yes, approve
After confirming by selecting Yes, approve, the system completes the process and displays a message indicating that the broadcast has been approved successfully.
At the same time, an email notification is sent to both the Operator and the Administrator, confirming that the broadcast has been approved and providing the updated execution details.
Administrator edits and schedules the broadcast before approval
In some cases, the Administrator may need to adjust the broadcast before approving it, particularly the delivery timing.
From the broadcast Summary view, the Administrator can select the Edit icon (pencil icon) located at the top of the section. This action allows them to modify the broadcast configuration as needed.
Once inside the editable view, the Administrator can update broadcast elements and the broadcast activation date. This is especially useful when the originally scheduled time needs to be corrected or optimized.
After making the necessary changes, or even if no changes are required, the Administrator can proceed by selecting the Schedule button in the Summary section. This action confirms the updated delivery timing for the broadcast.
At this point, the system displays a confirmation dialog asking whether the Administrator wants to approve the broadcast. By selecting Yes, approve, the approval process is completed.
Immediately after confirmation, the platform displays a message indicating that the broadcast has been approved successfully.
At the same time, an email notification is sent to both the Administrator and the Operator, confirming that the broadcast has been approved and providing the relevant broadcast details.
From this moment, the broadcast is considered scheduled and will be executed according to the updated delivery configuration defined by the Administrator.
Broadcast is deleted after being approved
Once a broadcast has been approved by the Administrator, its status changes to Scheduled, indicating that it is ready to be executed at the defined delivery time. At this stage, the Administrator still has the ability to remove the broadcast if needed.
From the Performance Reports section, the Administrator can select the broadcast and click on Details to access the broadcast summary view.
Once inside the broadcast summary view, a Delete icon (trash icon) is available in the top right corner.
When the Administrator selects this icon, the system displays a confirmation dialog asking whether they are sure they want to delete the broadcast. This step is required to prevent accidental deletions, as the action cannot be undone.
By selecting Yes, the system confirms the deletion and displays a message indicating that the broadcast has been successfully deleted. At this point, the broadcast is permanently removed from the system and will not be executed, even if it was previously scheduled.
Simultaneously, an email notification is dispatched to both the Administrator and the Operator, informing them that the broadcast has been successfully deleted.
In addition, the email provides a New campaign button, allowing users to quickly create a new broadcast if needed.
This scenario ensures that even after approval, broadcasts can still be safely cancelled before execution, maintaining full control over message delivery.
