Embedded Signup (WhatsApp)

Link an existing WhatsApp Business Account (WABA) or create a new one from the platform with Meta Embedded Signup.

What is Embedded Signup?

Embedded Signup lets businesses onboard to the WhatsApp Business API from the platform through its Business Solution Provider (BSP) integration. You can select an existing WABA or create a new WABA and Business Portfolio in Meta, then connect it to a Workspace.

Before you begin

Review these account-assignment rules before you start:

  • A WABA can have multiple phone numbers (senders).
  • You can share one WABA across multiple Workspaces.
  • You can assign each sender to only one Workspace at a time.
  • You can assign only one WABA to each Workspace.
  • If support previously created a WABA and its sender is active on the platform, ask support to remove that WABA before using Embedded Signup to link or create a WABA.

For example, a company with regional support teams can use one WABA with separate senders for North America, Europe, and Asia. Each regional team can access the WABA through its Workspace, but each sender remains assigned exclusively to its own Workspace.

WABA Approval Time

The approval timeline for a WhatsApp Business Account (WABA) is subject to Meta’s verification procedures and the validation of submitted documentation.

Both the account status and the business verification must be approved before the WABA is considered fully active.

While approval is typically granted within 2 to 7 business days, cases requiring manual review by Meta may extend the process to up to 14 days (2 weeks).

Until the business verification is approved, the WABA will not have full capabilities:

  • You will be able to send messages only with the initial limitations (250 conversations per 24 hours, without newly approved message templates).
  • You will not have access to large-scale messaging or advanced features until both statuses are approved.

Set up Embedded Signup

Follow these steps to link an existing WABA or create a new one:

  1. Add a sender. Open Preferences, select the Channel Management tab, and click Add Sender.

  2. Start Embedded Signup. In the Sender Type list, select Embedded Signup (WhatsApp), then click Add. You are redirected to Meta to manage your WhatsApp Business Account.

  3. Authenticate with Facebook Business Manager. Sign in with an account that can access the WABA you want to link.

    NOTE

    If you don’t have a Facebook Business Manager account, you’ll need to create one before proceeding.

    To continue, accept Meta’s request to share basic information, such as your name and profile picture, with the BSP. This permission does not allow the BSP to post to Facebook without your permission.


    Click Continue as [Name]. If this is not the correct account, sign in with a different account.

  4. Authorize the integration with Meta. Meta displays a confirmation screen before you connect your business assets to the BSP.

    By selecting Continue, you agree to the Meta Hosting Terms for Cloud API and the Meta Terms for WhatsApp Business. These agreements are required before Meta can grant the BSP access to your business assets. At this stage, no Business Portfolio, WhatsApp Business Account, or phone number has been created or linked. You are only authorizing Meta to proceed with the asset selection and configuration process.

    Meta then guides you to:

    • Create or select a Business Portfolio and WABA.
    • Verify the WABA phone number by SMS or phone call.
  5. Create or select a Business Portfolio and WABA. Choose the Meta business assets to connect to the BSP:

    • Create a new Business Portfolio and WABA.
    • Select an existing Business Portfolio and WABA.

    If you do not yet have a Business Portfolio and WABA in Meta, select Create a Business Portfolio and Create a WhatsApp Business Account, then click Next.

    Complete the business-information form to define the new assets.

    Click Next to create the Business Portfolio and WABA.

    If you already have a Business Portfolio and WABA, select them and click Next. Meta validates your selections and displays a summary of the selected assets.

  6. Verify the business phone number. Add the phone number to associate with the WABA. Customers use this number to contact your business on WhatsApp.

    • Enter the phone number. Add the number you want to use with the WABA, including the correct country code (for example, +52 for Mexico).
    • Choose a verification method. Receive the verification code by Text Message (SMS) or Phone Call.

    Click Next to send the code. Enter the code to confirm ownership of the phone number, then click Next.

  7. Finish setup. After you verify the phone number, Meta confirms that your account is connected to the BSP. Meta reviews your business for compliance with WhatsApp’s Commerce Policy and contacts you within 24 hours if it identifies an issue.

    Click Finish to complete Embedded Signup.

Initial messaging limits for new WhatsApp Business Accounts

New WABAs start with the following limits:

  • 250 business-initiated conversations: You can start up to 250 business-initiated conversations per phone number within a rolling 24-hour period.
  • Unlimited customer-initiated conversations: Customers can initiate an unlimited number of conversations.
  • Up to two phone numbers: If the WABA is not verified, you can associate up to two phone numbers. Once Meta verifies the WABA, you can add up to 25 phone numbers.

Verify that the WABA was added to the Workspace

After you complete Embedded Signup, you are redirected to Preferences > Channel Management. A snackbar notification confirms that the sender was registered to the Workspace.

Refresh the page to see the linked WABA in the Enabled Channels table. The table includes:

  • ID: The unique identifier of your WABA.

  • Alias: The name assigned to your WABA during Embedded Signup.

  • Type: The channel type associated with the entry.

    For WhatsApp entries, Type distinguishes the WABA from the individual phone numbers (senders) associated with it.

    The Type column can display the following WhatsApp values:

    • WhatsApp: An individual phone number (sender) linked to the WABA. You can link multiple senders to one WABA, but each sender can be assigned to only one Workspace at a time.

    • WhatsApp WABA: The WABA that contains its related senders, message templates, and business-profile settings. You can assign only one WABA to a Workspace.

      IMPORTANT

      If a warning icon (⚠️) is displayed in the Actions column, and the following message is displayed:

      “Meta access has been revoked. Please contact support.”

      It means that the platform no longer has permission to access your WhatsApp Business Account in Meta.

      In this scenerario, the selected sender may still appear in the list, but its connection is no longer active.

      As a result, the platform cannot validate the sender’s connectivity or allow message delivery.

      This situation occurs when access to your WhatsApp account has been removed or modified in your Meta Business Manager.

      To resolve this issue, please contact your Account Manager to restore access to your WhatsApp Business account.

  • Live Chat: Whether the sender is configured for exclusive use with the Live Chat platform. This field applies only to individual WhatsApp phone numbers and is empty for entries of type WhatsApp WABA.

  • Date created: The date when the WABA was configured in the Workspace.

  • Actions: The editing tool for adding, verifying, and assigning phone numbers to a WABA. This tool is available only for entries of type WhatsApp WABA.

Assign a phone number (sender) to the Workspace

Once the WABA appears in the Enabled Channels table, you can assign a sender to the current Workspace even if the WABA is not yet verified.

  1. Find the WABA entry with the type WhatsApp WABA.

  2. Click the Edit icon to open its configuration.

The configuration table lists the WABA’s phone numbers and their settings.

  • Name: The display name registered with Meta for the sender. Customers see this name in your WhatsApp profile and conversations. You can update it with the edit (pencil) icon.

  • Display Name: The review status of the display name, such as Approved.

  • Phone Number: The number customers use to contact your business through WhatsApp.

  • Status: The sender’s connectivity status. CONNECTED means the sender is actively linked and can send and receive messages.

  • Quality Rating: The sender’s performance level, based on user engagement and message quality as determined by Meta.

  • Tier: The maximum number of business-initiated conversations allowed per day. For example, a tier of 1,000 allows up to 1,000 conversations daily using approved message templates.

  • Verify: Whether the sender has completed verification. If verification is pending, use Verify to complete OTP verification by SMS or voice call. For more information, see Verify WABA Phone Number via OTP Authentication.

    NOTE

    If the phone number (sender) is already assigned to another Workspace, the "Verify" button will be disabled.

    The "Verify" button is available only after the phone number has been assigned to the current Workspace. To assign the phone number, select the "Assigned" checkbox for the corresponding phone number.

  • Assigned: Select the checkbox to assign the sender to the current Workspace.

    NOTE

    If the phone number (sender) is already assigned to another Workspace, the "Assigned" checkbox will be disabled.

    Select Assigned, then click the Confirm icon in the dialog.

    NOTE

    Remember,

    • Only you are able to add a single WABA for each Workspace.
    • Phone Numbers with the checkbox disabled are currently assigned to another Workspace.

After you assign the sender, it appears in the Enabled Channels list with the type WhatsApp.

Optional: Unassign a phone number

To unassign a phone number from the current Workspace:

  1. Next to the WABA, click the Edit icon to open its configuration.

  2. Clear the Assigned checkbox for the phone number. A confirmation dialog opens.

    The dialog lists active processes associated with the phone number:

    • Process Name: The name of each process using the phone number, such as consent management, broadcast, or automation.
    • Type: The process type.

Optional: Create a WABA through the Partner-Initiated Process

Use the Partner-Initiated Process to ask support to create a new WABA.

  • How it works: Support creates the WABA and configures the sender (the phone number used for messaging).
  • When to use it: Choose this option if you are starting from scratch and want support to manage the setup.
